User guide

Everything you need to use your Events Calendar.

1. Viewing your calendar

The calendar opens on the current month. Use the arrow buttons to move between months and Today to return to the current date. Events appear on their day in the colour of their category.

  • Select a day to list that day's events beside the calendar. Select Show all to return to the full list.
  • Select an event to see its date, time, location and notes.
  • Use Upcoming, Past and All to choose which events are listed.
  • Type into Search events to find an event by its title, location, notes or category.
  • Use the Categories menu to show only one category.
  • Select Print to print the month on screen.

2. Signing in

Select Manage events to reach the sign-in page. The first time, you will be asked to choose a password.

  • Tick Keep me signed in and choose 30 days or 1 year if you want to stay signed in on your own device. Each visit extends the time. Do not use this on a shared computer.
  • Select Log out when you have finished on a shared device.
  • If you forget your password, select Forgot your password?. A link will be sent to your email address so you can choose a new one. The link works once and expires after an hour.

3. Adding and changing events

  1. Select + Add event.
  2. Enter a title, a start date and a category. The start time, end date, finish time, location and notes are optional.
  3. Select Save event.

Leave the times empty for an all-day event. Enter an end date for an event that runs over several days.

Each event in the list has Edit, Duplicate and Delete buttons. Duplicate is useful for similar events. You will be asked to confirm before anything is deleted.

4. Repeating events

Choose a Repeat option when adding or editing an event: every day, weekday, week, fortnight, month or year. Add Repeat until to stop the series on a date, or leave it empty to repeat without an end.

Monthly and yearly events that fall on a day a month does not have, such as the 31st, appear on that month's last day. Editing a repeating event changes the whole series.

5. Categories

Every event belongs to one category. Open Tools then Categories to rename any of them and describe what each is for. There are four spare categories, called Misc 1 to Misc 4, for anything else. Renaming a category changes it on every event that uses it.

6. Reminders

Sound reminders

On the calendar page, switch on Sound reminders and tick one or more times, from 5 minutes to 1 hour before an event. Select Test sound to check your volume. Sound reminders play while the calendar is open in your browser, and the setting is remembered on that device.

Email reminders

Open Tools then Email reminders, tick Send email reminders, choose when you would like to be reminded, and save. Select Save and send test email to check that messages arrive. Email reminders are available while your access is active.

To change the timing for one event, choose Choose times for this event or No email reminder for this event in that event's form.

If reminders do not arrive, check your junk folder and mark the sender as safe.

7. Importing, exporting and printing

  • Import calendar accepts a standard .ics file from most other calendars. You can preview it, choose which new events to add, and pick a category for them. Events you already have are not added twice.
  • Export calendar downloads all your events as an .ics file, which makes a useful backup and opens in most other calendars.
  • Print on the calendar page prints the month you are viewing.

8. Undo, redo and version history

The Undo and Redo buttons at the top of the events page reverse or repeat your latest changes. For anything older, open Tools then Version history, find the version you want and select Restore. You will be asked to confirm first.

9. Keeping your calendar private

By default, anyone with the link to your calendar can view it, but only you can change it. To restrict viewing, open Tools then Calendar privacy, tick the option, choose a viewing password and save. Share that password only with the people you want to see the calendar. Untick the option to make the calendar open again.

10. Your account and security

  • Change password is in the main menu.
  • Change email is under Tools. A 6-digit code is sent to confirm the new address before it takes effect.
  • Sign out of all devices is under Tools. Use it straight away if a phone or computer is lost or you think someone else has your password. You will need to sign in again afterwards.
  • You will receive an email notice whenever your password or email address is changed.
  • Repeated wrong passwords are blocked for a short time. If that happens, wait a few minutes and try again.
