Add your team with their annual leave entitlement, log holiday requests against each person, and set them to Approved, Pending or Declined. The calendar shows who's off in any given month, and the overlap check flags any date where more staff are off than your cover allows. * Overlap warnings only cover the month currently shown in the Team Calendar above. Move between months to check overlap across the rest of the year.
Decide how many staff can realistically be off on any given day before service suffers, and set that as your Max Staff Off figure. It's much easier to apply consistently than judging each request against a gut feeling.
Working through requests in the order they were made, rather than the order they arrive on your desk, tends to feel fairest to staff and reduces disputes over who "asked first".
If your policy allows staff to carry days into the new year, make sure a decision is made on any unused carried-over balance before the entitlement year changes again, or the Remaining figure will understate what's actually owed.
Check the Team Calendar and overlap warnings a few weeks ahead of known busy periods, not just when a new request lands, so gaps in cover are caught while there's still time to adjust.
